How to make a packing list

This template is an on-page form that turns your shipment into a packing list PDF. You do not upload anything or edit a file in another program, and it works in modern browsers on a computer or phone.

To generate the PDF you need the shipper name, the consignee name and at least one item description. Fill in the other fields as your buyer, carrier or freight forwarder requests.

  1. Enter the date, packing list number, and the invoice, PO and BOL numbers that go with this shipment.
  2. Add the carrier, countries of origin and destination, and choose the weight unit (lb or kg) and dimension unit (in or cm).
  3. Fill in Shipper / exporter and Consignee.
  4. List each package line: number of packages, type, description, quantity, unit, net weight, gross weight and dimensions. Click "+ Add line" for more lines or × to remove one.
  5. Click "Download packing list PDF." It downloads automatically, and a download button also appears.

What a packing list is and how it differs from an invoice

A shipping packing list describes how a shipment is packed: how many packages there are, what is in each one, and what they weigh and measure. The shipper or exporter prepares it, and it travels with the goods for the carrier, customs and the receiver. (This template is for shipments, not travel packing lists.)

A packing list is not a commercial invoice. The invoice shows prices and the value of the goods for payment and customs duties, while the packing list shows no prices. It focuses on packaging, weights and dimensions, which is what warehouse staff and inspectors need when they count and check cartons.

Net weight is the weight of the goods alone. Gross weight is the goods plus all packaging, such as boxes, crates and pallets. Carriers use gross weight and dimensions to plan space and price freight.

Marks and numbers are the labels printed on each package, such as a consignee code and "carton 3 of 12." Listing them lets customs pick out a specific box for inspection and helps the receiving dock confirm nothing is missing.

Packing list fields explained

Packages and type record how many pieces a line covers and what they are, for example 4 cartons or 1 pallet. Quantity and unit describe the goods inside, such as 240 pieces.

Dimensions (L x W x H) are the outside measurements of each package in the unit you selected. Accurate dimensions help the carrier quote and load the shipment correctly.

Totals for packages, quantity, net weight and gross weight are added up automatically at the bottom of the table.

Use the Marks, numbers and notes box for package markings and any handling notes. The PDF ends with blank lines for prepared by, signature and date.

Privacy and limits

The packing list is created in your browser on your device. Nothing is uploaded or stored by PaperPorter. Your details are saved only in this browser's local storage, so the bill of lading and commercial invoice generators open with the same shipper, consignee and items. "Clear form" resets everything.

Long lists continue onto extra pages with the table header repeated, and pages are numbered. The PDF uses standard fonts, so non-Latin characters print as "?". Nothing is signed for you, and some buyers or authorities may ask for extra details, so check their requirements.

Packing list tips

Weigh after packing. Record gross weight once boxes are sealed and palletized, so the number matches what the carrier's scale shows.

Keep documents consistent. Package counts and weights should match your commercial invoice and bill of lading. Differences can trigger questions at customs.

Put a copy on the outside. Many shippers attach a packing list in a clear pouch on one package and send another copy with the other documents.
